What it does

Zoho Recruit

Send a SkillsDB assessment to the people who applied for a job opening.

What it does

Connect your Zoho Recruit organisation to SkillsDB and the applications under a job opening become a list you can send an assessment to. Choose the opening, choose the applicants, and each one gets the invitation SkillsDB always sends. Nobody retypes an address.

SkillsDB reads your job openings, the applications under them, the candidate records behind those applications and your Recruit company name. The one thing it writes is a CV screening’s result: the rating and the application status on an application you screened, and nothing else. Assessment results travel back to Zoho through assessment webhooks, which you configure and control.

  • Works with any Zoho data centre, including zoho.com, zoho.eu, zoho.in, zoho.com.au, zoho.jp, zoho.ca, zoho.sa and zoho.com.cn.
  • One Zoho Recruit organisation connects to one SkillsDB organisation.
  • Organisation administrators connect, reconnect and disconnect it.
  • Sending from Recruit uses one credit per candidate, exactly as an invitation typed by hand does.
  • CV screening is free. It spends no credits and is capped at 300 CVs per organisation per day.

Connect Zoho Recruit

  1. Open Settings in your organisation, choose Integrations, then Zoho Recruit.
  2. Choose Connect Zoho Recruit. SkillsDB sends you to Zoho to log in. Start at the ordinary Zoho sign-in and Zoho routes you to the data centre your account lives on. If your account is on Zoho China, choose Using Zoho China? Connect there instead.
  3. Read the consent screen and choose Accept.
  4. Zoho returns you to Settings, Integrations, Zoho Recruit. The card now shows your Recruit company name, its data centre, who connected it and when it was last checked.
Integrations sits in organisation settings, with a card for each connection.

The consent screen asks for read access to your job openings, your applications, your candidates, the files attached to them, your module settings and your application status list, plus your organisation record. It also asks for update access to applications. That update permission is used for one thing: writing a CV screening’s rating and status onto an application you screened. Nothing else in Zoho Recruit is created, changed or deleted.

Module settings tell SkillsDB whether the Applications module is switched on for your edition and region, so it knows which list to show you, and the status list is what the CV screening write-back card offers you. The organisation permission is the only one Zoho words as full access: Recruit publishes no read-only organisation scope, so ZohoRecruit.org.ALL is the narrowest one on offer. SkillsDB reads exactly two things with it, the company name shown on the card and the organisation id that binds this Recruit organisation to this SkillsDB organisation.

Send an assessment from Recruit

  1. Open the assessment you want to send and choose Invite.
  2. Choose the From Zoho Recruit tab. It appears once your organisation is connected.
  3. Choose a job opening. Openings that are in progress are listed first, and you can search the list by name.
  4. Review the applications under that opening. Each row shows the candidate name, the email address, the application status in Recruit, and whether this assessment has already gone to that address.
  5. Select the people you want to assess and send. Up to one hundred go in one batch.
Pick the opening, then tick the people to send the assessment to. Sample data.
The Invitations tab of a SkillsDB assessment with the From Zoho Recruit tab open, a job opening chosen, and the applications under it listed with the candidate name, the email address, the application status in Recruit and whether the assessment has already gone to that address

The invitation is the ordinary SkillsDB invitation: the same email, the same credit, the same row in the assessment’s Invite tab, the same result in Results. Each invitation sent this way records that it came from Zoho Recruit along with the Recruit application, candidate and job opening ids, so an export or a webhook can carry them back to Zoho.

  • An application with no email address is listed and cannot be selected. Add the address in Recruit, then load the list again.
  • Where the Applications module is switched off for your edition or region, the list comes from the candidates associated with the opening instead. The columns are the same.
  • Long lists load two hundred applications at a time.

Screen CVs from an opening

Screening reads the CVs attached to the people who applied for an opening and scores each one against the criteria for that job, with the sentence from the CV behind every mark. Open Screening in your workspace, choose New screening, then From Zoho Recruit, and pick the opening. Read the full guide at /docs/cv-screening.

A screened application gets its result written back to Zoho Recruit, one candidate at a time. The Rating field carries the score out of five, and the Application Status is the one you mapped to that verdict at Settings, Integrations, Zoho Recruit, on the CV screening write-back card. Shortlist, Consider and Reject start as Qualified, In Review and Unqualified, and you change them to the values your organisation uses.

Get assessment results back in Zoho

A CV screening writes its own result back. An assessment result does not: to move one back, use the assessment’s event notifications: turn on the Results ready webhook, point it at a receiver of yours, and have that receiver update the Recruit record through Zoho’s own API. Candidate completed is available the same way if you want the earlier signal.

Because an invitation sent from Recruit carries the Recruit application, candidate and job opening ids, your receiver can find the record to update without matching on the email address. Read the Event notifications guide for the payload, the signature headers and the delivery rules.

Disconnect and reconnect

Choose Disconnect on the Zoho Recruit card and confirm. SkillsDB revokes the token at Zoho and deletes its copy. The From Zoho Recruit tab disappears from every assessment in the organisation. Invitations already sent, their attempts and their results are untouched, and so is everything in Recruit.

Reconnect when the grant needs replacing, for example after the person who connected it leaves, or when SkillsDB asks for a permission it did not have before. Reconnect revokes the old token before it asks Zoho for a new one, so the connection never accumulates grants. Choose Check again at any time to ask Zoho whether the connection still works; SkillsDB also checks it when the page opens if the last check is more than fifteen minutes old, and before every use.

Troubleshooting

  • Reconnect needed. The grant is dead or no longer carries every permission SkillsDB needs, usually because it was revoked in Zoho or the scopes changed. Choose Reconnect and accept the consent screen again.
  • Error. Zoho refused and SkillsDB shows Zoho’s own message on the card. Read it, fix it in Zoho, then choose Check again.
  • Could not check. Zoho answered with a server error. SkillsDB leaves the stored status alone rather than guessing; try Check again in a few minutes.
  • The From Zoho Recruit tab is missing. The organisation is not connected, or the connection needs reconnecting. Open Settings, Integrations, Zoho Recruit.
  • A job opening is missing from the list. Check that it exists in the Recruit organisation you connected, and that the account that connected it can see that opening in Recruit.
  • An applicant cannot be selected. The application carries no email address. Add one in Recruit and load the list again.
